The engraving proof step that saved a recognition dinner

Fourteen hundred names, eleven award tiers, one event date that was not moving. Nine days before the recognition dinner, a validation pass on the engraving list caught twenty-two errors — wrong titles, one duplicated name, two misspellings pulled straight from the source spreadsheet.

None of those errors were ours. All of them would have been engraved into finished pieces if the proof step had not existed. This is the workflow we now run on every award program, regardless of size.

The source file is not always right

A name-and-title spreadsheet passed down through two or three people before it reaches us usually has at least one error in it — a title that changed after the list was built, a name spelled two different ways in two different rows. We check for internal inconsistency, not just typos.

What the validation pass actually checks

Every name cross-checked for duplicate or near-duplicate entries. Titles checked for consistent formatting across the list. Any blank or placeholder field flagged back to the client before it goes anywhere near the laser.

Why nine days mattered

Catching the errors nine days out meant a corrected list, a re-approved proof, and a full production run still finished two days ahead of the event. Catching them the day before would have meant handing out awards with wrong names on stage, or missing the dinner entirely.

None of the twenty-two errors were ours. All of them would have been engraved into finished pieces without the proof step.
